When managing your sales process it's best to create timed Custom Lists, to make sure you are prioritising your warmest leads and you are maximising your time. For example, if someone has recently filled in a form indicating they are interested in your product or service, you should reach out to them as quickly as possible so you might send them a message inviting them to a call within 24 hours of the form submission. If you decided once having spoken to them it's unlikely they will buy in the next 30 days or so, you can push them to another list to remind you to reach out to them in 3 or 6 months to see if they are interested at that point. Below you will learn how to create these Custom Lists so they auto populate with the relevant contacts...
Setting up
Creating custom lists needs you to have a clear way to filter or identify the contacts you want to engage. In this case we want to filter for contacts that we'd like to reach out to in 3 months from the last activity. To do this we are going to use two filters:
Contact Status
Days Since Last Activity
Creating the contact status
To make the contacts easy to identify, we are going to change their status to "Follow up 3M" this will be a simple way to identify which contact we'd like to filter for.
To add this status, go to Settings > Contact Statuses > Add Status
Creating the Advanced Search
Now we can create the list. We start by going to Contacts and selecting "Advanced search & filters".
First we are going to filter for Status. To do this, select "Statuses" in the dropdown, then select "follow up 3m"
Next, we are going to select "No contact in X days" in the dropdown, and add. 90 days.
Then select "Search & filter"
Saving the search
You should now see the search results (which may be empty if you have not applied the status to a contact and have got recent contact activities against all of your contacts). To make it easy to come back to this search again in the future, simply select "Save Search" at the top of the page.
When you save the list it will appear in the Menu, under Contacts in the CRM section.
You can create as many of these lists as you need to manage your sales pipeline effectively.
